The email address assigned by the University Grenoble Alpes follows a standardized format ([email protected]) and serves as the official communication channel between the institution and its students. Notifications regarding academic matters, exam invitations, exchanges with teachers: nearly all administrative communications go through this inbox. Not checking it regularly means ignoring information, some of which may involve strict deadlines.

Activation delay for the UGA email account and common errors

The computer account is not available on the same day as registration. According to the official documentation from the DLST, the first-time student receives an email at the personal address provided during registration within two days following its completion. This email contains a one-time link to retrieve the login, university address, and create a password.

As long as this link has not been used, the account remains completely unusable. Some digital services only become accessible the day after activation. For students from IAE, IUT2, and IUT Valence, the activation email is sent as soon as pre-registration occurs, creating a delay compared to other components.

The most common mistake is searching for the activation email in the wrong inbox. The link is sent to the personal address declared during administrative registration, not to the UGA inbox (which does not exist yet at this stage). If the email does not appear in the inbox, checking the spam folder is the first reflex before contacting student IT support, whose contact details are provided on the “Memo for IT Identifiers” given with the student card.

Students who re-enroll retain their identifiers from the previous year. No new activation email is sent in this case. Those who want to learn everything about the UGA email address can delve into the specifics related to re-enrollment and special cases (PhD students linked to the Comue, changes of component).

UGA Zimbra Messaging: Configuration and Technical Limits

UGA uses Zimbra as its webmail client. The interface allows users to manage their emails, contacts, and calendar from a browser. The official Zimbra UGA messaging guide, available on the university’s video platform, details the basic functions: creating folders, filters, signatures.

Several points deserve special attention:

  • The storage capacity of the Zimbra inbox is limited. No visual warning alerts before saturation, which can block the reception of new messages without the student realizing it. Regular cleaning of large attachments helps avoid this situation.
  • Adding the UGA account to an external mail client (Thunderbird, smartphone Mail app) requires the IMAP or POP settings provided by the information systems department. The IMAP protocol is preferable for synchronizing messages across multiple devices.
  • Automatic sorting filters in Zimbra allow emails to be categorized by sender or subject, helping to separate Moodle notifications from urgent administrative messages.

In August 2026, Zimbra released patches for security vulnerabilities. Server-side security updates are managed by the university, but on the user side, choosing a strong password and periodic renewal remain the responsibility of each student.

UGA Email Forwarding to a Personal Address: An Increasingly Restricted Practice

Many students wish to centralize their emails in their personal Gmail or Outlook inbox. This habit poses a fundamental problem that the Grenoble university ecosystem has begun to address.

Since July 2025, in the Grenoble academy, automatic forwarding of institutional emails to a personal address is disabled and prohibited for reasons of confidentiality and data security. This restriction does not only affect staff: it reflects a broader trend in Europe. The University of Freiburg in Germany permanently disabled automatic forwarding after an update to its webmail, forcing its users to check their official inbox.

Available alternatives for UGA students who do not want to log into Zimbra every day:

  • Set up a mail client on a smartphone (IMAP) that aggregates the UGA inbox and the personal inbox into a single application, without transferring data to a third-party server.
  • Enable push notifications from the mail app to be alerted in real-time without having to manually open Zimbra.
  • Check Zimbra at least two to three times a week, especially during exam registration and results periods.

Phishing Targeting University Addresses: Recognizing Attempts

Addresses ending in @etu.univ-grenoble-alpes.fr are regularly targeted by phishing campaigns. The most frequent attacks mimic messages from the academic office or university library, with a link redirecting to a fake login page.

A legitimate email from UGA never asks for your password via an external link. All authentication goes through the university’s CAS (Central Authentication Service) portal, identifiable by its URL cas.univ-grenoble-alpes.fr. A message that redirects to another domain, even if visually similar, should be reported to IT support.

The University of Technology in Brno (Czech Republic) recommends in its cybersecurity guides to systematically verify unexpected requests through a separate official channel. This practice directly applies to the UGA context: if in doubt about a received email, a call to the component’s secretariat or a visit to the SOS student desk can confirm the legitimacy of the message.

Duration of the UGA Email Address After Graduation

The address @etu.univ-grenoble-alpes.fr is not permanent. The account is linked to active administrative registration. After completing the program, access is maintained for a limited period, but the available data does not specify a uniform duration applied to all components.

Before deactivation, no automatic backup of emails is performed by the university. Students nearing the end of their program should export their messages and contacts from Zimbra (export function in .tgz format) and update their contact address with administrative services, internship platforms, and recruiters.

Manually transferring administrative exchanges to a permanent inbox remains the most reliable method to keep a record of communications related to the diploma or internship agreements signed during the program.
